About EBTT The EBTT (Tuscan Tourism Bilateral Body) is a non-profit association comprising employer organizations and trade unions within the Tuscan tourism sector, as established by the National Collective Labor Agreement. Operating since 1996, the Body serves as a benchmark for over 15,000 companies and 43,000 workers, managing a network of 18 Service Centers across the region. Accredited by the Tuscany Region as a training and employment services agency, EBTT provides its members with professional training, income support, and health and safety consulting.

The Challenge

Prior to adopting Askme, EBTT’s operational processes were largely manual, relying on extensive email exchanges between various departments. Document management and registration (protocol) activities were scattered across different tools and local archives, making it difficult to maintain a unified view of ongoing cases.

The main criticalities included:

Fragmented Communications

Service Centers, the Regional Secretariat, and governing bodies managed activities via email. Incoming Certified Email (PEC) was often processed manually, hindering information retrieval.

Lack of a Single Access Point

Information was siloed within local archives, complicating long-term case consultation.

Manual Training Course Management

Organizing courses required multiple manual steps for document generation and signature collection, increasing operational lead times.

The Solution

By implementing Askme Desk and Askme Sign, four digital macro-processes were configured to meet the Body’s operational needs, focusing on document management and automated registration.

1. Document Registration (Protocol)

The Regional Secretariat manages inbound and outbound document flows via a dedicated Askme workflow. A custom plugin automatically assigns progressive protocol numbers, allowing operators to approve, dispatch, or archive documents based on confidentiality levels. The system also processes incoming PEC emails, automatically converting them into tracked cases within the platform.

2. Internal Case Dispatch

Service Centers use a structured workflow for filing internal cases. All information converges on the platform, where cases can be shared with specific recipients or archived, ensuring immediate searchability and data persistence.

3. Training Course Management

The lifecycle of training courses is managed through Askme Desk. During activation, the system automatically generates project documents in PDF format. During the reporting phase, documents are sent for digital signature via Askme Sign (requiring mandatory dual signatures) before automatically progressing to closure.

4. Meeting Minutes

Minutes from the Assembly, Executive Committee, and Service Centers are digitally signed via Askme Sign and automatically transferred to Askme Desk for centralized archiving and consultation by the Regional Secretariat.
